Primary Function of Organizational Unit

The mission of the North Carolina State University TRIO Programs is to provide equal access to quality education by facilitating retention and promotion from middle schools through post baccalaureate completion.

Essential Job Duties

The Administrative Support Associate will manage the workflow of the office for six full-time professional staff and the Executive Director as well as serving as a backup for the Business Officer with with budgetary and financial management of TRIO funding sources. The position will also independently apply knowledge through written and verbal communication and will coordinate and direct the workflow of the TRIO office, thus assuming some of the duties of the Business Officer.

The position will work .35 for the Talent Search Program and .65 for the Upward Bound Program, which will require managing the office work-flow of full-time staff and a Director. Support will include coordinating county annual itineraries, conducting mass mailing to first generation low income student participants, maintaining accurate records, preparing documents, managing student database, and generating reports from the database. The position will also assist with grant proposals and provide general support such as filing and answering telephones.

Other Work/Responsibilities

Coordination and cooperation with other TRIO Programs support staff is required. Will collaborate office tasks as needed. Based on the qualifications of the applicant, this position may provide additional program assistance, such as; conduct intake assessment to determine needs of parents and students who initiate contact with the program or references to outside resources such as pre-college resources or community colleges. Provide outreach to students who are not participating as required in programs. Chaperone trips and supervise participants. Coordinate workshop logistics such as registrations and evaluations. Facilitate and lead workshops, create publications such as newsletters and brochures.

Minimum Experience/Education

High School Diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.

Departmental Required Skills

Strong organizational skills, both verbal and written.

Highly motivated. Must be a self-starter and willing to take initiative to perform responsibilities independently.

Able to learn, interpret, follow, and act upon the federal and state guidelines governing the Program.

Experience in Access and/or similar database management software.

Experience with the MS Office Suite such as Microsoft Word, Excel, Access, Power Point, and Publisher, or similar software.

Flexibility to work some evenings and weekends.

Preferred Experience, Skills, Training/Education

High School Diploma with at least two years’ experience and possession of the necessary competencies or some post-secondary coursework completion with demonstrated competencies.

At least two years of office assistant/secretarial experience; or an equivalent combination of training and experience.

Bachelor’s degree preferred.

Experience with Gmail, PeopleSoft, and bookkeeping preferred.
