Primary Function of Organizational Unit

The Analytical Instrumentation Facility (AIF) seeks a talented individual to join our team as a Business Services Coordinator. The AIF is NC State’s primary shared facility for materials characterization with a mission to enable and lead state-of-the-art research through acquisition, development, maintenance, training, and access to major analytical and materials characterization instrumentation. Through the support of engaged faculty and experienced staff, the AIF supports state-of-the-art scanning and transmission electron microscopes, X-ray scattering and spectroscopy instruments, mass spectrometry, scanning probe microscopy, nanoindentation, and extensive sample preparation facilities. The AIF is a core nanotechnology user facility in the new Research Triangle Nanotechnology Network (RTNN), a site in the National Nanotechnology Coordinated Infrastructure (NNCI).

Essential Job Duties

The Business Services Coordinator oversees the business and financial management of a complex and evolving Service Center with a variety of funding sources within the College of Engineering.

This individual performs a range of responsibilities in areas including Business Administration, Financial Management, Information Analysis and Decision Making, Communication, and Human Resources. Most notably, the individual is required to analyze and evaluate facility operations and data and is empowered to make decisions to increase efficiency. The individual will also manage one Administrative Support Specialist position in the unit.

The Business Services Coordinator is currently responsible for the following:

- Management of budgets, revenue, and expenses across more than 20 state, state-receipted, trust, and foundation accounts.
- Monthly account reconciliation for the unit
- Monthly financial forecasting that projects expenses, revenue, and the year-end balance for the facility
- Database management and query writing to pull and analyze data for the Director, NSF reporting requirements, steering committee meetings, and other emergent needs
- Annual service center rate certification which includes analyzing direct costs and utilization, and working with the facility Director and the Office of Cost Analysis to request new rates
- Annual Inventory Management and Certification
- Work with external clients and University offices to ensure testing services agreements are executed
- Invoice external clients for facility use and follow up on outstanding receivables
- Manage Administrative Support Specialist who handles billing for AIF’s internal clients, as well as other administrative tasks
- Effectively communicate policies and procedures to various stakeholders at AIF and University including high-level administrators, technical and non-technical staff, faculty, and students
- Provide Human Resources management for the unit
- Process all HR actions including, but not limited to: job postings, data changes, position description additions and revisions, time reporting

Minimum Experience/Education

Bachelor’s degree in business administration or a related discipline; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.

Departmental Required Skills

- Excellent interpersonal and communication skills
- Ability to convey and communicate in a professional manner to a broad audience including executives, academic administrators, faculty, staff, and external parties
- Ability to manage and complete multiple tasks or projects
- Excellent organizational skills and strong attention to detail.
- Proficiency with Microsoft Excel and Word, or similar
- Previous experience in a role with financial management responsibilities.

Preferred Experience, Skills, Training/Education

- Experience with University systems and policies, including PeopleSoft
- Experience with service center or auxiliary operations at a University
- Experience with Microsoft Access or other relational databases
- Experience managing employees
- Previous experience managing human resource functions.
